Information we collect
When you make an enquiry, we may collect your name, email address, telephone or WhatsApp number, property address or preferred area, property and rental details, likely timeframe, preferred contact method, currency preference and anything you include in your message. Our hosting and security systems may also receive technical information such as IP address, browser, device, page requested, time and security events.
Do not use the general website form to send passports, bank details, tax identifiers, payment-card information or other highly sensitive documents. We will arrange an appropriate route if those are later required for a transaction.
Why we use it and our lawful bases
- To answer an enquiry, arrange a call or meeting, prepare a valuation or net-sheet discussion, and take steps you request before a possible property service. We rely on taking steps at your request and, where applicable, performing a contract.
- To keep appropriate records, prevent spam or misuse, secure the website, and improve our service. We rely on our legitimate interests in operating a responsive and secure real estate business.
- To meet legal, licensing, tax, accounting, anti-fraud or regulatory duties. We rely on the relevant legal obligation.
- To load optional analytics only when you choose “Accept analytics”. We rely on your consent, which you may withdraw by clearing the site’s stored choice and selecting “Reject analytics” when asked again.
Submitting an enquiry does not subscribe you to a marketing list. If we later ask to send optional marketing, we will provide the appropriate choice and unsubscribe route.
Who receives it
Relevant Team Donovan personnel may receive your enquiry so the right person can respond. We may use contracted providers for website hosting, secure email delivery, analytics (only with consent), IT support and professional record keeping. Property transactions may also require information to be shared with a title or closing company, attorney, accountant, inspector, lender, association, management company or another professional, but we will do so only when appropriate, authorised or legally required.
International transfers
Team Donovan is based in the United States, so information submitted from the UK or EEA is transferred to and handled in the United States. Our service providers may also process information in the United States or other countries. Where UK data-protection law requires a transfer safeguard, we use a recognised safeguard or another lawful transfer mechanism and apply reasonable security measures.
How long we keep it
Unsuccessful or preliminary website enquiries are normally reviewed for deletion after 24 months, unless a longer period is reasonably needed to continue the conversation, handle a complaint, prevent misuse or meet a legal duty. If you become a client or enter a transaction, relevant records may be retained for the longer period required by Florida real estate, tax, insurance, limitation and record-keeping rules. Security logs are generally kept for a shorter operational period.
Your rights
Depending on the law applying to you, you may ask for access to your personal information, correction, deletion, restriction, objection, portability, or withdrawal of consent. Some rights are limited where records must be retained or another lawful basis applies. Email [email protected] with “Privacy request” in the subject. We may need to verify your identity before acting.
UK visitors may complain to the Information Commissioner’s Office. Please also contact us so we have the opportunity to address the concern.
Children and changes
This service is not directed to children and we do not knowingly solicit their personal information. We may update this notice when the website, providers or legal requirements change; the review date above identifies the current version.
